Knowledge Collections in Open WebUI
Overview
This guide explains how to manage knowledge and knowledge collections in Open WebUI, including creating, organizing, and controlling access to collections. These collections can be used by chat users, models, and for Retrieval-Augmented Generation (RAG) tasks. All features are compatible with GRACE.
User Guide
For Administrators and Users with Workspace Access

Accessing Knowledge Management:
- Navigate to the Workspace section in Open WebUI.
- Go to Knowledge to view and manage all available knowledge collections.

Creating a Knowledge Collection:
- Click the plus (+) button to create a new collection.
- Enter a name and description for the collection.
- Set the visibility:
- Public: Accessible to all users on the deployment.
- Private: Select specific groups or teams who can access the collection.
- Assign access to one or more teams (e.g., Legal, Data Science, IT, Sales).

Uploading Documents to a Collection:
- Open the desired collection.
- Upload content by:
- Uploading a directory (multiple files at once).
- Uploading individual files.
- Adding custom content (e.g., creating a new TXT file or pasting text).
- Uploaded documents are automatically added to the collection.

Managing Access Rights:
- Go to the Accesses section within a collection.
- Add or remove groups/teams with access to the collection.
- Set permissions for each team:
- Read: Team can view documents.
- Write: Team can add or modify documents.

Searching and Organizing Knowledge:
- Use the search function within a collection to find specific documents.
- Organize documents and collections as needed for your workflows.

Using Knowledge Collections:
- Collections can be used as context for chat, models, and RAG (Retrieval-Augmented Generation) tasks.
- Reference collections in prompts using hashtags for easy access.

Deleting Collections:
- Collections can be deleted if no longer needed. This will remove all associated documents.
